How to set up team registration

Team registration lets team owners sign up through a link you share, so you don’t have to type in every team yourself. Owners give a team name, their name and mobile number, and a keyboard key. Each new team waits in Manage Teams as Pending until you approve it.

Quick steps

  1. Open your auction and select the Team Registration tab.
  2. Turn on Enable Registration Link and confirm.
  3. Select Copy and share the registration link with your team owners.
  4. Optional: set a Team Registration End Date in Auction Details, and a Team Registration Amount in Payment Methods.
  5. Team owners log in, fill in the form and select Submit.
  6. Open Manage Teams, check each new team and approve it.

Every field, explained

Open registration

  • Enable Registration Link

    Optional

    Opens your public team registration form. While it is off, anyone who opens the link sees "Team registration isn't open for this auction" with "Please contact the organizer for more details."

    • Off for a new auction.
    • Turning it on or off asks you to confirm first.
    • Anyone with the link can register a team, so share it only with your team owners.

  • Registration Link

    Optional

    The link team owners open to register, shown once registration is enabled. Select Copy and share it on WhatsApp, email or your league group.

    • Team owners must log in with their mobile number before the form opens.

    Example: https://the12thmen.com/auctions/<your-auction-id>/team/registration

  • Show Team Data

    Optional

    Controls who can see your teams on the public auction page. Turn it off to show teams only to admins and organizers.

    • On by default.
    • It saves as soon as you flip it.

Deadline and fee

  • Team Registration End Date

    Optional

    The last moment teams can register. After it passes, the form is replaced by "Team registration is closed" with "The registration deadline has passed." Set it in the Auction Details tab, under Team Structure.

    • Format DD/MM/YYYY hh:mm AM/PM.
    • Must be on or before the auction start date and time.
    • If you do not change the time, registration stays open until the end of that day.
    • Leave it empty to keep registration open until you turn the link off.

  • Team Registration Amount

    Optional

    The entry fee for each team. Set it in the Payment Methods tab after turning on Enable Team Payments. When team payments are off, registration is free.

    • Numbers only, and it cannot be negative.

    Example: 2000

What team owners fill in

  • Upload Team Logo

    Optional

    The team badge. It is shown on the team card and the live auction screens.

    • JPG or PNG, up to 10 MB.

  • Team Name

    Required

    The name shown on the team card, the live screen and every export.

    Example: Lakeside Lions

  • Team Owner Name

    Required

    The person who owns the team and bids for it.

    Example: Rohan Desai

  • Team Owner Contact

    Required

    The owner’s mobile number. It is shown on the team card so you can reach the owner.

    • India (+91) is selected by default. Pick another country code if needed.
    • Must be a valid mobile number, otherwise "Please enter a valid phone number" appears.

    Example: +91 98765 00110

  • Keyboard Key

    Required

    The key the auctioneer presses to pick this team during live bidding. It is picked for you from the first free letter of the team name, and the owner can change it.

    • One letter, A to Z.
    • N, R, S and U are shown in red. They are reserved for auction controls and cannot be picked.

  • Payment Mode

    Required

    How the owner pays the Team Registration Amount. It only appears when team payments are on, and lists the methods you allowed in Payment Methods.

    • Online sends the owner to pay online before the team is saved.
    • Scanner shows your UPI ID and QR code, and the owner must upload a payment screenshot.
    • Cash saves the team, and you collect the fee yourself.

Common mistakes

  • Teams that register through the link arrive as Pending. Approve them in Manage Teams.
  • The public form doesn’t check which keyboard keys other teams already use. Check for clashes in Manage Teams and edit a team if two share a key.
  • Free registrations still show as Unpaid in Manage Teams. Mark them Paid, or ignore the pending-payments warning if there is no fee.
  • The deadline must be on or before the auction start. If the date passes, re-open registration by moving the deadline in Auction Details.
  • Once your auction has used its free teams, an owner registering through the link can get "Failed to register team. Please try again." Add any extra teams yourself in Manage Teams, where your own credits pay for them.
